I have implemented an infrared predictive maintenance (PdM) program at my employer, RR Donnelley. As part of the implementation, I have to cost-justify the program and its findings, so I developed two reports to make this task easier. The first is the Cost Avoidance Report (CAR), which communicates money saved. The second is the Machinery Condition Report (MCR), designed to keep the company apprised of what I'm working on. Both reports are intentionally kept simple and straight forward for ease-of-use, clarity and distribution. The CAR is an Excel file, easily filled-in and archived, containing information such as date, work order #, machine #, technology used (IR, VA, other), description, man hours, and so on. The bottom line is three numbers: 'fix it now' costs, 'fix it later' costs, and the 'savings' or difference between fixing the equipment now, or later. The 'savings' numbers are also recorded on a CAR Summary sheet that keeps a running total, all of which is recorded in monthly and yearly reports, the costs of which are based on the time required to do any repairs.
