Focus Areas

1. It is recommended that a combination of score and weighting system be employed. This is ideally suited for rating the different areas of the RFI that vary in importance, for example

   1. each RFI item can have a score from 0 to 10.

   2. each RFI item will also have a weight 0 to 5.

   3. weighted score is the product of (a) and (b).

2. Review all documentation submitted with the bid carefully (look at all demo CDs, brochures, etc.).

3. Check for conformity with the submission requirements in the RFI and your company s purchasing terms and conditions. Any bid that does not meet your requirements should be discarded.

4. Mandatory items this approach requires that the vendor provide this software functionality, service or qualification in order for their submission to be considered. If this is not available, then the bid should be discarded.

5. Use spreadsheet program to tally scores (sum scores of the individual scorers and compute an overall average).

6. Arrange final scores in descending order. Identify five to eight vendors who best meet your requirements for the CWMS project and are found acceptable to move on to the request for proposal stage.

7. Seek approval from your steering committee to proceed with the other selection phase activities for your short-listed vendors.

8. Send out letters to all vendors you have chosen to move on to the request for proposal stage of the CWMS selection process.
